Collection, Processing and Disclosure of Personal Data

As a rule, our websites can be used without providing any personal data. Insofar as personal data (e.g. name, address or email addresses) or data that directly or indirectly identifies you (e.g. your IP address) is collected on our pages, this is always done on a voluntary basis as far as possible, or because it is necessary for the use of one of our services.

When you visit our websites, our web servers temporarily store, for the purpose of system security, the connection data of the requesting computer (IP address), the pages you visit, the date and duration of your visit, the identifiers of the browser and operating system used (the so-called “user agent”), and the website from which you visit us (the so-called “referrer”). We evaluate this data for statistical purposes. This is done in aggregated form; individual users cannot be traced. Use of Social Media Plugins

Insofar as the use of social media plugins described in the following sections involves the transfer of data to countries outside the EU, in particular to the USA, this is done in accordance with Article 49 GDPR.

Purpose of Data Processing

The purpose of processing your data is to hold the webinar.

Categories of Data Used and Source of the Data

Various types of data are processed when using “Microsoft Teams”. The scope of the data also depends on the information you provide before or during participation in an online meeting. The following personal data is subject to processing:

  • User details: first name, last name
  • Meeting metadata: e.g. date, time, meeting ID, telephone numbers, location
  • Text, audio and video data: You may have the option of using the chat function in an online meeting. In this case, the text you enter is processed in order to display it in the online meeting. To enable video to be displayed and audio to be played, the data from your device’s microphone and any video camera of the device is processed for the duration of the meeting. You can switch off or mute the camera or microphone yourself at any time via the “Microsoft Teams” applications.

Legal Basis for Processing

Your data is processed on the basis of your consent pursuant to Art. 6 (1) (a) GDPR.

Recipients or Categories of Recipients of Personal Data

Personal data processed in connection with participation in webinars is generally not passed on to third parties unless it is specifically intended to be passed on.

Other recipients: The provider of “Microsoft Teams” necessarily obtains knowledge of the above data to the extent provided for in our data processing agreement with “Microsoft Teams”. Participants in the same session receive the names or login names of the other participants.

Transfer of Personal Data to a Third Country

As a rule, data is not processed outside the European Union (EU), as we have restricted our storage location to data centres within the European Union. However, we cannot rule out that data may be routed via internet servers located outside the EU. This may be the case in particular if participants in online meetings are located in a third country.

The data is encrypted during transport over the internet and is thus protected against unauthorised access by third parties.

Duration of Storage of Personal Data

We generally delete personal data when there is no need for further storage. As a rule, this will be after the end of the webinar.

Rights of Data Subjects

Under the General Data Protection Regulation, you have the following rights:

  • If your personal data is processed, you have the right to obtain information about the data stored about you (Art. 15 GDPR).
  • If incorrect personal data is processed, you have the right to rectification (Art. 16 GDPR).
  • If the legal requirements are met, you can request the erasure or restriction of processing and object to the processing (Art. 17, 18 and 21 GDPR).
  • If you have consented to data processing or there is a contract for data processing and the processing is carried out by automated means, you may have a right to data portability (Art. 20 GDPR).

No automated decision-making within the meaning of Art. 22 GDPR takes place.

Pursuant to Art. 77 GDPR, you have the right to lodge a complaint with the supervisory authority if you believe that the processing of your personal data is not lawful.

Use of Cookies

Receiving Newsletters and Email Mailings

If you would like to receive the newsletter we offer or our product information and event invitations sent by email, we require an email address from you as well as information that allows us to verify that you are the owner of the email address provided and agree to receive the newsletter or mailings. No further data is collected. We use this data exclusively for sending the requested information and do not pass it on to third parties.

We use the double opt-in procedure for this. This means that after you have registered for the newsletter or mailings, you will receive an email from us with a link by which you confirm your request once again. Only then will your email address be added to the corresponding distribution list.

Use of the Mailing Service Provider “ActiveCampaign”

For the automated and manual sending of newsletter emails, we use the mailing service provider “ActiveCampaign”, a newsletter platform of the US provider ActiveCampaign, LLC, 150 N. Michigan Ave Suite 1230, Chicago, IL, USA.

The email addresses of our newsletter recipients, as well as their other data described in this notice, are stored on ActiveCampaign’s servers in the USA. ActiveCampaign uses this information to send and evaluate the newsletters on our behalf. Furthermore, according to its own information, ActiveCampaign may use this data to optimise or improve its own services, e.g. for the technical optimisation of sending and displaying the newsletters, or for economic purposes, to determine which countries the recipients come from. However, ActiveCampaign does not use the data of our newsletter recipients to contact them itself, nor does it pass the data on to third parties.

The newsletters contain a so-called “web beacon”, i.e. a pixel-sized file that is retrieved from the ActiveCampaign server when the newsletter is opened. As part of this retrieval, technical information is initially collected, such as information about the browser and your system, as well as your IP address and the time of retrieval. This information is used for the technical improvement of the services based on the technical data or the target groups, and to track readers’ reading behaviour based on their retrieval locations (which can be determined using the IP address) or access times.

The statistical surveys also include determining whether the newsletters are opened, when they are opened and which links are clicked. For technical reasons, this information can be assigned to individual newsletter recipients. However, it is neither our intention nor that of ActiveCampaign to monitor individual users. Rather, the evaluations help us to recognise the reading habits of our users and to adapt our content to them or to send different content according to the interests of our users.

You can cancel your subscription to our newsletter at any time, i.e. withdraw your consent. This simultaneously revokes your consent to its sending via ActiveCampaign and to the statistical analyses. A link to unsubscribe from the newsletter can be found in the footer of every newsletter.

Server Log Files

The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These are:

  • Browser type/browser version
  • Operating system used
  • Referrer URL
  • Host name of the accessing computer
  • Time of the server request

This data cannot be assigned to specific persons. This data is not merged with other data sources. We reserve the right to check this data retrospectively if we become aware of specific indications of unlawful use.
